Abstract

Working with documents is an activity that every organization must deal with. For public institutions, including schools, document processing is one of the main parts of the administration, which is often costly, mainly due to the constant increase in the cost of postal service providers (eg letter items).

In recent years, therefore, streamlining and reducing the cost of these administrative processes has been increasingly addressed in the public sector. Thanks to the electronic public administration, public institutions (including schools) are switching to electronic delivery of documents via a data box, which is free of charge for public authorities.

The agenda dealing with professional document management is called the file service, and schools must, with some exceptions, keep it compulsory. It establishes order in document management, and most importantly maintains it throughout the organization and throughout the life cycle of the document.

This cycle represents a set of activities related to the creation of documents, their processing and storage and lasts from the delivery / creation of the document to its removal from the organization (includes receipt, registration, distribution, circulation, processing, execution, signing, sending, saving and disposal in shredding). management). Thanks to the file service, it is possible to document the entire history of the document and thus its authenticity.

Unlike the authorities, professional document management in schools takes place specifically, which results from their position among other public authorities.
